Privacy Policy

This policy explains what personal data DataVonix collects, why we collect it, how long we keep it and what you can ask us to do with it. It covers this website and the conversations, proposals and projects that start here.

We have written it in plain language on purpose. If anything below is unclear, email us at hello@datavonix.com and we will explain it properly.

Who we are

DataVonix is a software engineering company. We build custom web applications, mobile apps, workflow automation, CRM implementations and cloud infrastructure, and we run a small set of our own products. We work from our office in Gujarat, India.

For the purposes of the UK and EU General Data Protection Regulation (GDPR), DataVonix is the controller of the personal data described in this policy - that is, we decide why and how it is processed. Where we build or operate software on a client’s behalf, we act as a processor for the data inside that system, and the client remains the controller.

You can reach us about anything in this policy at hello@datavonix.com, or by phone on +91 84601 04380.

What we collect

We collect only what we need to answer you and to run a project properly.

  • Information you give us. Your name, email address, phone number, company name and whatever you write in the message when you use a contact or enquiry form, book a call, or email us directly.
  • Project information. Documents, briefs, requirements, designs, credentials and access you share with us so that we can scope, build, test and support your software. This can include personal data belonging to your own customers or staff.
  • Technical information. Your IP address, browser and device type, referring page, and the pages you viewed on this site, collected through server logs and analytics.
  • Records of our correspondence. Emails, call notes, proposals and support tickets, so that we have an accurate history of what was agreed.

How we use it

  • To reply to your enquiry and prepare a scope, estimate or proposal.
  • To deliver, test, deploy, host and support the software you engage us to build.
  • To invoice you, keep accounting records and meet our tax obligations.
  • To keep this website secure, diagnose faults and understand which pages are useful.
  • To send occasional updates about our work when you have asked for them - every such email carries an unsubscribe link, and we do not sell or rent our list to anyone.

Where the GDPR applies, we rely on the following legal bases: performance of a contract for the work we do for clients and the steps taken before signing one; legitimate interests for responding to enquiries, securing this website and improving our services, balanced against your rights; consent for optional marketing email and non-essential cookies, which you can withdraw at any time; and legal obligation for accounting, tax and other records we are required to keep.

Cookies and analytics

This site uses a small number of cookies. Essential cookies keep the site working and secure and cannot be turned off. Analytics cookies tell us, in aggregate, which pages people read and where they arrived from.

You can block or delete cookies in your browser settings. Blocking essential cookies may break parts of the site.

Who we share it with

We do not sell personal data, and we never have. We share it only where it is necessary to run our business, and only with organisations that are bound to protect it:

  • Service providers we rely on to operate - hosting and cloud infrastructure, email, analytics, source control, project management and accounting - each acting on our instructions under a data processing agreement.
  • Our own team, on a need-to-know basis, at our office in India.
  • Professional advisers such as accountants and lawyers, where we are required to involve them.
  • Authorities, where the law compels us to disclose information.

International transfers

We are based in India and work with clients in the United States, Europe and elsewhere, so personal data may be transferred outside the country it was collected in. Where data leaves the UK or the European Economic Area, we rely on the European Commission’s Standard Contractual Clauses or another approved safeguard, and we apply the same protections described in this policy wherever the data sits.

How long we keep it

We keep enquiry correspondence for as long as the conversation is live and for a reasonable period afterwards in case you come back to it. Project records and client data are kept for the life of the engagement and for the period we are contractually or legally required to retain them afterwards. Accounting records are kept for as long as tax law requires.

When data is no longer needed for any of these purposes, we delete it or irreversibly anonymise it. You can ask us to delete your data sooner - see your rights below.

How we protect it

We build security into our own systems the same way we build it into client software: encrypted connections, access limited to the people who need it, credentials held in managed secret stores rather than documents, logged and reviewed access to production environments, and backups for the systems we run.

No system is perfect. If a breach ever affects your personal data, we will notify you and the relevant supervisory authority as the law requires, and tell you plainly what happened.

Your rights

Depending on where you live, you have some or all of the following rights over your personal data. Under the GDPR and UK GDPR you may:

  • Ask for a copy of the personal data we hold about you.
  • Ask us to correct anything inaccurate or incomplete.
  • Ask us to delete it, where we have no continuing reason to keep it.
  • Ask us to restrict or object to how we are using it.
  • Ask us to send it to you, or to another provider, in a portable format.
  • Withdraw consent at any time, where consent is what we relied on.
  • Complain to your data protection authority - in the UK, the Information Commissioner’s Office.

If you are in the United States

Residents of California, Colorado, Connecticut, Virginia, Utah and other states with comprehensive privacy laws have rights to know what personal information is collected about them, to have it deleted or corrected, to receive a portable copy, and to opt out of its sale or of targeted advertising.

We do not sell personal information and we do not use it for targeted advertising. To exercise any of your rights, email hello@datavonix.com. We will not discriminate against you for asking.

Data inside the software we build

When we build or support a system for a client, that system often holds personal data belonging to the client’s customers or staff. For that data the client is the controller and DataVonix is a processor: we act only on the client’s documented instructions, under the confidentiality and data protection terms in the project agreement.

If you are a customer of one of our clients and want to exercise your rights over your data, please contact that company directly. If you cannot reach them, write to us and we will help route your request.

Children's privacy

This website and our services are intended for businesses and are not directed at children under 16. We do not knowingly collect personal data from children. If you believe a child has given us personal data, contact us and we will delete it.

Links to other sites

Our website and our social media profiles link to sites we do not operate. This policy does not cover them, and we are not responsible for their content or their privacy practices. Read their policies before sharing anything with them.

Changes to this policy

We update this policy when our practices, our tooling or the law changes. The date at the top of this page always shows the current version. If a change materially affects how we handle your data, we will tell you directly where we can.
